Financial Policy

1. PRICES FEES AND POLICIES:
Price, fees, and policies are subject to change without prior notification. In the case of corporate training, a 30-day notice will be given. In all cases, as a courteous practice we aim to give advance notice of any fee or policy changes.

2. PAYMENT:
Full payment is due on the agreed upon date prior to rendering services. We do not permit late payments unless prior arrangements have been made. Please inform us if you are experiencing a challenge. If you have not made arrangements and consistently pay late, we will be glad to continue our services for you when we receive payment and when it is a better time for you.

3. METHODS OF PAYMENT:
We accept cash, check, money order, wire transfer, Visa, MasterCard, American Express, and other major credit cards. Payments with credit cards or corporate purchasing cards are not eligible for any cash rates or discount rates. Services will be billed at the standard rate. A $35.00 fee will be assessed to all bad checks.

4. MAKING PAYMENTS:
Payments must be mailed directly to Visions International or paid online. Coaches or trainers are not allowed to receive payments under any circumstances. You may also place the payment in a sealed envelope in the designated mailbox in the business office. Visions International, coaches or trainers are not responsible for lost or stolen payments. Therefore, we recommend that you do not put cash in the mailbox.

5. LATE FEE:
Considering full payment is due prior to the coaching or training session, late payments will incur an administrative fee of $25.00 if the outstanding balance is not paid within 7 days of the invoice date. If your balance remains past due, a finance charge of 1.5% will be assessed on the total outstanding balance every 30 days.

6. SERVICES FOR MINORS (UNDER AGE OF 18):
For the protection of children’s privacy, we require parental consent from enrollees under the age of 18 who wish to make a reservation or registration for a course or services. The parent or legal guardian of a minor is responsible for full payment. For in-home sessions, a parent/guardian or parent/guardian-approved chaperone (21 years of age or older) must be present at the session location during the entire session.

7. CANCELLED OR MISSED SESSION:
Please keep in mind that your session time has been reserved especially for you. Your coaches and trainers have already dedicated schedules, time, preparation, administration and classroom space towards your sessions. No credits or refunds will be given for cancelled or missed sessions. Cancelled or missed sessions must be made up by rescheduling, scheduling an extra session, or extending your session within the same month of cancellation. There may be a time when the coach or trainer is forced to reschedule, but the coach will notify you at least a week in advance, if possible. In fairness to all clients, we will ask those clients with a history of repeatedly missing or canceling sessions on short notice to seek coaching at another time. Please help us serve you better by keeping scheduled appointments.

8. RESCHEDULE AND EXPIRATION OF MAKE-UP SESSIONS:
Lessons or sessions canceled with a 24-hour notice are eligible for make up. All make-up time or sessions must be made up within the same month of cancellation or be made up within 30 days of cancellation. After 30 days, the make-up time cannot be made up. Coaches and Trainers will give their best to be available to make-up your lesson or session, but if all coaches and trainers are full or not available, it is still your responsibility and the fees will be charged. We are sorry; there are no exceptions.
Making up sessions prior to program/lesson end
Once you notify your coach or trainer of your program or lesson end date, you will only be allowed to make up lessons or sessions in the previous 30 days not to exceed 4 hours.

9. EXPIRATION OF BOOKING AND FLEXIBLE BOOKING LESSONS OR SESSIONS AND PACKAGES: All booking packages (Booking and Flexible Booking) lesson or sessions hours must be completed within three (3) months of purchase. Paid lesson or session hours will expire in three (3) months and cannot be made up, refunded or credited.

10. CANCELLATIONS FOR PRIVATE APPOINTMENTS (NOT GROUP CLASSES OR SESSIONS):
If you must reschedule or cancel a session, at least a 24-hour notice is required unless it is a medical emergency or traffic accident. If a 24-hour notice is not received, a 100% fee of the total lesson or session fee paid will be required. You cannot make up this lesson or session.

No Show Cancellations:
No show cancellations (no notice, no email, no message, no call, do not come). All no show cancellations require a 100% cancellation fee. No show cancellations due to a medical emergency or traffic accident will require a 100% cancellation fee. Sorry, there are no exceptions.

Cancellations due to a medical emergency or traffic accident with a doctor’s note or traffic accident report, will not require the 50% cancellation fee. Documentation of a doctor’s note or traffic accident is required within 30 days of the cancellation. However, these lessons or sessions must be made up within 30 days of cancellation. After 30 days, the lesson or session cannot be made up.

11. CANCELLATION OF OPEN ENROLLMENT GROUP CLASSES OR SESSIONS (I.E. CONVERSATION CLASSES, WORKSHOPS)
Rescheduling: If you are unable to attend, open enrollment classes will not be rescheduled. You may substitute your enrollment with another person at any time (give your enrollment to someone else). If you cannot find a substitute, you are responsible for all fees and a refund will not be issued.

Cancellations: Please give us a 24-hour notice of your cancellation. If you are unable to attend or find a substitute for your enrollment, a refund will not be issued. You may use your paid fees to attend another class of the same type and same fee within the same month. If you do not use your paid fee towards another class within the same month, you forfeit (lose) the paid fees. A refund will not be issued.

Class Cancellations: Coaches or Trainers reserve the right to cancel classes due to insufficient enrollment or coach or trainer unavailability. We will refund the full fees paid by enrollees.

12. RESCHEDULING FOR SMALL GROUP SESSIONS (3 OR FEWER PEOPLE):
In the case of more than a 24-hour notice on business days, we will see if all participants in the small group session can reschedule within the same month of cancellation or make up the time in longer or extra sessions within the same month of cancellation.

If we do not receive a 24-hour notice on business days and the other participants are able to have the session, the missed session will not be made up. You will still be responsible for all session material covered or assigned and all fees. There will be no refunds.

13. CANCELLATION OF COURSES, GROUP COACHING OR TRAINING (4 OR MORE PEOPLE, GROUP COURSE, GROUP COACHING OR BUSINESS TRAINING):
You may cancel your group course registration, but non-refundable fees may apply. Once your registration has been accepted, and if an enrollment fee applies, the enrollment fee is not refundable. The training or group course fee is due three (3) weeks before the training or course starts. We reserve the right to cancel courses, group coaching or training due to insufficient enrollment and will refund the full fees (including the enrollment fee) paid by enrollees. For enrollees who request a cancellation and refund at least 15 business days prior to the first day of the course or training, we will refund the full course, group coaching or training fee. For enrollees who request a refund less than 15 business days prior to the first day of the course, group coaching or training, we will refund 80% of the course, group coaching or training fee. If the course, group coaching or training starts and the enrollee desires to cancel prior to the 5th session or week, we will charge a minimum of 50% of the course, group coaching or training fee or greater based on the prorated cost incurred while the enrollee was enrolled in the course. From the 5th session or week of enrollment, no refunds will be issued. The enrollment fee is not refundable, but can be used towards another course, group coaching session or training within 12 months of your initial registration.
You may substitute your enrollment with another person at any time. If you cannot find a substitute, you are responsible for all fees. Please note third-party courses/training or registration partners have their own policies and procedures (i.e. TESOL Program in partnership with Tri-County Technical College). Please refer to their websites and policies.

14. MISSED APPOINTMENTS:
We value your time and make exceptions for emergency situations; therefore, you can expect us to be on time for you. We will appreciate the same courtesy. If you need to reschedule, please give us at least a 24-hour notice unless it is a medical emergency. If you must cancel, we will make up the eligible make-up time in longer or extra sessions within the same month of cancellation. There may be a time when we are forced to reschedule as well, but we will let you know at least a week in advance, if possible. In fairness to our clients, we will ask those clients with a history of repeatedly missing or canceling appointments on short notice to seek coaching at another time. Please help us serve you better by keeping scheduled appointments.

15. CONFIRMING APPOINTMENTS:
It is our belief that a scheduled appointment is like one’s word; meant to be kept. Therefore, we do not call clients to confirm scheduled appointments. If you scheduled via our online scheduling system, you will receive appointment confirmations and reminders via email and/or text message.

16. PHOTOGRAPHS, VIDEOS AND TESTIMONIALS:
By accepting your profile and contract or the financial policy and procedures the client gives permission for photographs, videos and testimonials of his or herself to be taken during class or other events. The client further agrees for those photographs to be published on the Visions International LLC, and/or the coach or trainer website, materials and social media. If you do not agree, you may opt out by completing or editing your client profile or emailing your coach or trainer and our business office at info@visionsmadereal.com.

17. PEAK HOURS AND WEEKEND RATE:
All lessons or sessions starting or continuing after 18:00 or weekends will be billed at the peak-rate for the entirety of the lesson or session.

18. ENDING YOUR CONTRACT OR PROGRAM:
Please see your client profile, contract and this financial policy for instructions or policies of how to end your agreement or program. Your lesson or session contract is a set term. Your lessons or session term (lesson or session schedule) has been especially reserved for you. All clients must give us a 60-day written notice of your plans to end your agreement or program. This 60-day notice allows us to plan our availability, programs for all clients especially group programs, logistics and operations such as meeting room or classroom availability. If you choose to end your lessons or session without a 60-day notice, you will be required to pay an early cancellation fee equivalent to one month (30 days) of your original monthly lesson or session hours (at program start) and contract. We are sorry, there are no exceptions. For example, if you originally planned lessons or coaching for 4 hours per month at the start of your contract, you will be required to pay for 4 hours. For group classes, early program end would be considered dropping the class; there are no refunds or credits.
